BRENTWOOD ELEMENTARY PTO

Minutes (General meeting)
January 25, 2010

Meeting called to order by Andi Solero at 7:07 pm. In attendance: Andi Solero, Purdey Egnew, Christy Holloway, Rachel Pace, Lora Petro, Barry Osborne, Madalin Eakes, Stacy Collester, and Ann Bonness.

Secretary: Minutes from last meeting were approved by Purdey and seconded by Christy

President:
We will not be using the same company for our Santa Shop next year, it was too difficult to work with them, if we do the Santa Shop at all
o Instead of a Santa shop, it was proposed to do craft projects with the kids, maybe as a family fun night, only have a couple of things to choose from with all items the same price
Elections are coming up soon:
o Christine Beanblossom is interested, but not for president or treasurer position
o The open positions will be president, vice president, and treasurer
o The new by-laws would allow Andi, Lora, and Purdey to remain in their respective positions if no one else is running for those positions
Volunteers:
o Have volunteer forms for each individual event, and send them home six weeks before the event
o PTO will host an appreciation brunch on May 14, 2010
o Should we have parent volunteers as class representatives?
Fundraising:
o No catalog sales; however, keep our ongoing fundraisers, Market Day and Scrip
o If we don't fund raise as much, we may eliminate PTO paying for field trips

Treasurer:
The budget is reconciled, beginning balance: $18,330.67 on December 1, 2009, and ending balance of $17,747.04 on January 25, 2010
We still have no savings or money market account because of the fees the bank charges
Motion to accept budget by Christy and seconded by Lora

Past Activities:
Game night was a huge success
o Considering hosting movie night and game night in January and not hosting any events in October because of lack of attendance – have both on Friday nights

Upcoming Activities:
The first morning coffee meeting will be held February 18, 2010
Winter Carnival – Stacy Collester is the coordinator
o There will be door prizes, games, a moonwalk, prize center, popcorn stand, and a food court
o Stacy got a $100 donation from Hendricks Regional Health and will be using their donation to purchase a girls and a boys bike, and a gift certificate to a local restaurant to be given away
o There will be three chance games to play to win the bikes and gift certificate
o Stacy should also be getting a $50 donation from Wal-mart
o There will be a flyer going home this week
o We still need volunteers, mostly to run the games
o Tickets will cost $.50 each and it will take one ticket to play most games
o Stacy asked for, and was given approval, to have a clown doing balloon animals, the cost of this is $125 for two hours, the balloons will be free to those in attendance
o We will look into getting a face painter, and have one only if it will be at no cost
o Police and Fire Department will be outside with giveaways for the kids
